July has a special energy: new hires start, HR is half out of office, and someone uploads yesterday’s eligibility file with tomorrow’s terminations missing. Account-based plans and COBRA amplify every mistake.
High-cost errors
- Wrong coverage effective dates → HSA contributions for ineligible months
- Missing termination → FSA cards that should have been deactivated
- Late COBRA qualifying-event notice → DOL attention you didn’t want
- Dependent care eligibility left on after a spouse’s work status changed
A 15-minute weekly hygiene routine
- Compare new-hire enrollments in payroll vs. TPA for the last 7 days.
- Confirm terminations include benefit end dates, not just last day worked.
- Spot-check one COBRA event end-to-end (HRIS → COBRA vendor → notice date).
- Review debit card status changes for employment status changes.
If you’re the backup person this week
You don’t need to know every regulation. You need the checklist and the escalation path. Write both down before the person who “just knows” leaves for vacation.
Benefits administration is operational. Treat midyear like a mini open enrollment for data quality.
